In our last episode, we explored how AI can be your efficiency expert in task creation and work summaries. Today, we're getting into specifics, how you can use AI to generate tasks in specific project management tools like monday. com and ClickUp, as well as with ChatGPT or Magi. In every business, project management can sometimes, always, feel like herding cats. But AI can be your cat herding lasso by helping create and organize tasks. Let's look at how you can use AI to streamline your workflow and keep your projects on track. First up, let's talk about using AI in Monday. com and ClickUp. Both of these platforms have AI functionality, which gives you the ability to drop in a conversation summary, or your thoughts about a project and have AI generate a set of tasks for you in the software. But it doesn't stop there. The AI can even set due dates for these tasks based on a specific timeline. Uh, forget a bunch of clicking and calculating. Just tell AI your parameters and it can create the tasks, set the due dates, and even assign those tasks. Specifically, you can open themonday. com or click up AI and ask for it to create tasks from your summary. Or you can create a new item or task, then ask for suggested subtasks. How might you use this? Okay, imagine you've just finished a design consultation with a client. You've got all the project details and the timeline fresh in your mind. Instead of manually creating a task list, you can simply input the meeting summary into monday. com or click up AI. Don't worry about any kind of formatting, just dump the info in. Tell it what you want. such as create tasks and subtasks to support completing the order for this project by October 1st, and voila! The AI generates a comprehensive task list for you in the app. This list could include everything from scheduling additional meetings and sending the design agreement to when the deposit needs to be received and when the order needs to be placed. Then, all you need to do is work through your daily tasks without worrying about missing a deadline. When all the details are in the software, you never have to wonder Did that get done? Or is this project still on schedule? Now maybe you aren't using project management software like Monday. com or ClickUp yet. Not to worry. You can still harness the power of AI using ChatGPT or Magi. These AI tools can help you generate task lists and timelines that you can then manually input into your preferred system. Even if that system is a printed to do list. The beauty of using AI to help generate tasks and timelines in your project management software Transcript goes beyond just personal organization. It helps set and update client expectations, as well as keep your entire team on the same page. No more miscommunications about deadlines or forgotten follow ups. When the information is in a central location and accessible to the team, everyone understands exactly what needs to happen and when. As always, AI isn't bulletproof, and while it's incredibly powerful, it's not infallible. Always review the tasks and timelines it generates.
